RULES AND REGULATIONS OF THE EMS MEETUP

§ 1 GENERAL PROVISIONS

1. These Rules and Regulation define the rights and obligations of the Participants in the “EMS MEETUP” organised by VECTOR BLUE HUB S.A. with its registered office in Gdynia in the conference rooms of the Ibis New Street Station hotel in Birmingham on 9 November 2023.

2. For the purposes of these Rules and Regulations, the following definitions have been adopted: a) Rules and Regulations – these “Rules and Regulations of the Event” b) Organiser – VECTOR BLUE HUB Spółka Akcyjna with its registered office in Poland, Gdynia (81-577), ul. Krzemowa 6, entered into the Register of Entrepreneurs of the National Court Register kept by the Gdańsk-Północ District Court in Gdańsk, 8th Commercial Division of the National Court Register, under KRS number: 0000921553, Tax Identification Number NIP: 9581719009, share capital: PLN 1,100,000.00. c) Participant – a natural person taking part in the event who has registered for the event or has been registered by a third party in the manner specified in the Rules and Regulations and on the Event Website. d) Registering Party – a natural person or a legal person registering participants for the event in accordance with these Rules and Regulations. e) Event Website – the website (https://vectorbluehub.com/ems-meet-up) of the event to which these Rules and Regulations apply, containing details of the event.

§ 2 EVENT

1. The event shall be attended by the Participants who have been registered by correctly filling in a registration form available on the Event Website and sending it to the Organiser and have received confirmation of registration for the event.

2. Details of the venue, time and programme of the event shall be available on the Event Website. If some information is not available upon registration, the Organiser shall publish additional information on the Event Website before the start of the event.

3. The Organiser shall not be required to provide transport to or from the event or any accommodation during, before or after the event.

4. A Participant who wishes to take part in the event shall register on the Event Website in accordance with the Rules and Regulations, arrive at the event on time, sign the attendance list and collect an ID badge. The Organiser reserves the right to refuse to admit the Participants who have not registered for the event, have not provided the data required for registration, have provided false data or have arrived late.

5. The Organiser reserves the right to cancel the event as well as to change the programme, venue and time of the event for justified reasons. In such a case, the Organiser shall not be liable to pay compensation or damages to the Participants or the Registering Parties.

6. The Organiser reserves the right to refuse to admit a Participant who does not adhere to the Rules and Regulations or whose presence or conduct is deemed objectionable or poses a safety risk, or to request such a Participant to leave the event.

7. By accepting the Rules and Regulations, the Participant grants the Organiser their consent, free of charge and unlimited in time or territory, for the dissemination by the Organiser of their image recorded in the form of photographs and videos made during the event for information and marketing purposes, e.g. on the internet, including, in particular, on the Organiser’s website (vectorbluehub.com) and the Organiser’s social networking sites (LinkedIn, Facebook, Instagram, YouTube and TikTok).

§ 3 REGISTRATION

1.In order to take part in the event, the Participants shall first register for it via the Event Website, fill in all the required fields on the registration form, submit a declaration and give the consents marked as required on the form.

2. During the registration, the Participants may also give their consent to receive marketing information about the services and products offered by the Organiser.

3. The Registering Party may register for the event on its own behalf or on behalf of another Participant. When providing personal data on behalf of another Participant, the Registering Party declares that it has obtained the prior consent of the Participant to entrust their personal data to the Organiser and accept these Rules and Regulations. When registering another Participant, the Registering Party shall provide that Participant’s email address.

4. The Registering Party shall provide accurate data.

5. The Participant shall notify the Organiser if they decide not to take part in the event, by sending an email to the following address: [email protected].

6. The Registering Party or the Participant may designate another Event Participant in place of the Participant who cannot take part in the event.

§ 4 LIABILITY OF THE EVENT ORGANISER

1. The Organiser shall not be liable for costs incurred by the Participants in the event that the event is cancelled or its time or venue is changed for justified reasons and reasons not attributable to the Organiser.

2. The Organiser’s liability towards the Participants shall be limited to damage caused solely through the fault of the Organiser’s employees.

3. The Organiser shall not be liable for the Participants’ items that may be stolen, lost or destroyed during the event.

§ 5 LIABILITY OF THE EVENT PARTICIPANT

1. The Event Participant shall be liable for any damage to the Organiser, another Participant or a third party resulting from an act or omission of the Event Participant.

2. The Event Participant may not record the presentations held by means of audiovisual devices, such as a telephone, voice recorder or camera, except with the Organiser’s consent.

3. The Participant shall comply with a strict ban on smoking at the venue of the event and a ban on participation in the event while under the influence of alcohol or drugs and on their consumption directly before or during the event, as well as on the distribution of the above substances among the other Participants.

4. The Participant shall not disturb the other Participants or speakers giving lectures throughout their duration.

5. The Participant shall be prohibited from bringing to the event or the team-building meeting/afterparty dangerous items threatening the safety of other persons.

6. The Participant shall comply with the instructions of the host as well as other entities involved in the organisation of the event.

§ 6 PERSONAL DATA PROTECTION

1. The Organiser shall be the administrator of personal data provided by the Event Participants.

2. The Organiser undertakes to protect personal data in accordance with applicable regulations, in particular Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and the Personal Data Protection Act – the Act of 10 May 2018 on the protection of personal data (Journal of Laws 2018, item 1000, as amended).

3. Detailed rules for collecting, processing and storing personal data are set out in the Privacy Policy available at https://vector.net/en/privacy-policy/.

     § 7 FINAL PROVISIONS

1. These Rules and Regulations shall be available on the Event Website.

2. The Organiser reserves the right to change the Rules and Regulations at any time.

3. The Rules and Regulations shall enter into force on the date of their publication on the Event Website. In the case of changes to the Rules and Regulations affecting the rules of participation made after the registration of the Participant, the provisions of the Rules and Regulations applicable as at the date of registration shall apply.

4. Any disputes arising from participation in the event shall be resolved under the law of the Organiser’s country.

5. Any disputes relating to the event shall be resolved by a court having jurisdiction over the Organiser’s registered office.
